1. Distribution Group (DG)
What it is
A Distribution Group is used only for sending emails to multiple users at once.
No mailbox
No files
No calendar
Email-only group
Example
Group name: [email protected]
Members:
Ram
Shyam
Mohan
When someone emails [email protected]
, all members receive the mail in their inbox.
Use case
Company announcements
Department emails
Training notifications
2. Security Group (Mail-enabled)
What it is
A Security Group is mainly used for access control, but when mail-enabled, it can also receive emails.
Used for permissions (SharePoint, apps, Azure, etc.)
Can receive emails
No shared mailbox
Example
Group name: Azure-Admins
Uses:
Assign Azure RBAC role
Grant SharePoint access
Send admin alerts via email
Email sent to [email protected] goes to all admins.

3. Microsoft 365 Group (Unified Group)
What it is
A Microsoft 365 Group is a collaboration group.
Includes:
Outlook group mailbox
Shared calendar
SharePoint site
OneDrive
Can be connected to Microsoft Teams

Members can:
Email the group
Share files
Chat in Teams
Schedule meetings
Use case

4. Dynamic Distribution Group (DDG)
What it is
A Dynamic Distribution Group automatically adds users based on rules/filters.
No manual membership
Members update automatically
Email-only group
Example
Group rule:
Department = Sales
Group name: [email protected]
Email sent to this group goes to all users whose department is Sales.
If a new user joins Sales → automatically included.
Use case
Department-based communication
Location-based groups
Role-based broadcast emails
