How to Integrate a Treatment Coordinator into Your Practice

Welcome to today’s video where we explore the role of a Treatment Coordinator in your dental practice and how to effectively integrate this position into your team. I’m Dr. Khaled, with 20 years of experience in dentistry and the owner of Lakeside Dental Spa in Hervey Bay, Queensland. Over the past 14 years, I’ve grown my practice from a single share to 10 shares and from 3 staff members to nearly 40.

So, what exactly is a Treatment Coordinator? This role is essential for managing comprehensive dental treatments and ensuring smooth communication between your practice and your patients. Unlike front office receptionists or dental assistants, a Treatment Coordinator focuses on coordinating complex treatment plans, addressing patient questions, setting up appointments, and managing payment plans.

If you’re handling intricate procedures such as multiple crowns, full smile makeovers, dental implants, or orthodontics, a Treatment Coordinator can be invaluable. They act as a single point of contact for patients, streamlining the process and ensuring that all questions and concerns are addressed efficiently. For those starting out with simpler procedures, this role might not be immediately necessary, but it becomes crucial as your practice grows and becomes more complex.

In larger practices, or if your associates are beginning to handle more complex cases, consider starting with a part-time Treatment Coordinator. This allows you to assess the demand and adjust their hours as needed. In my own practice, I’ve found that having two full-time Treatment Coordinators has been extremely beneficial for managing the diverse needs of our patients.
