Using HubSpot Task Queues To Drive Your Customer Onboarding

A handy tip to simplify your onboarding team’s follow up tasks and hold customer’s accountable using dynamic HubSpot data.
How do you set it up?
Step 1 - Create a task queue
1. Select “Sales” → “Tasks” → “Create Queue”
2. Give your task queue a name
3. Add your onboarding team to the queue
Step 2 - Create calculated properties
1. Add a new date property for “Today’s Date”
2. Create a workflow to automatically update “Today’s Date” (link in comments)
3. Add a new calculated property: Days since last contacted = Last Contacted - Today’s Date
4. Add a new calculated property: Days since onboarding progress = Last Arrows Task Completed - Today’s Date
Step 3 - Create an automated workflow for adding tasks to the queue
1. Select “Automation” → “Workflows” → “Create Workflow”
2. Select “Deal Based” → “Blank workflow” → Give your workflow a name
3. Add “Deal enrollment trigger”: Days since last contacted is greater than 5 days AND Days since onboarding progress is greater than 5 days
4. Add “Create task” action: Give the task a title, type of TODO, and set the task details using deal properties by clicking “Personalize”
5. Associate the task with all records on the deal, assign it to the deal owner and add it to our newly created Task Queue
