Microsoft Excel Power of: IF, Countif And Sumif all find answers using logic as the basis for determining the decision action. This tutorial can teach you all three within a matter of minutes!
IF Statement (Starts: 2:15 seconds Ends: 4:39:17 minutes)
The basic IF Statement is made up of three different parts: Logic, True Action and False Action.
The Logic determines how Excel will react. If you are comparing two different numbers and wanting to know which is larger then the logic would be the greater than or less than statement.
True Action is the action you are explicitly telling Excel to take if the logical decision happens to be true. For example, if a number turns out to be larger you might tell Excel to place the word "larger" into the cell. On the flipside if the logical outcome happens to be false, then you might instruct Excel to place "smaller" in the cell.
The goal of the basic IF Statement is to provide easy to identify callouts within your analysis.
Countif (Starts: 4:39:23 minutes Ends: 10:20:21 minutes)
Countif helps an analyst to determine how many records fit a specific critieria. This function is made up of two parts: Range and Criteria.
Range just provides a range of cells that will determine the count.
Criteria is the specific number, word or phrase you want Excel to use as the basis or reference for what is needing to be counted.
For example, if your spreadsheet has 100 different rows of data and you only care about the records that are "Outperforming". Then Countif can be used to count the total number of records labeled as "Outperforming". By providing the range and criteria Excel will only count the number of rows within the 100 located in the range that specifically say "Outperform". You can also use it to count all records which meet the criterial of "Underperforming".
Basically, Countif is a time-saving method of analyzing information in order to provide quick information based on a specific question or criteria.
Sumif (Starts: 10:21:08 minutes to Ends: 16:01:01 minutes)
Sumif helps an analyst to not only identify a specific criteria, but after identifying the criteria this function takes an additional action. This occurs because Sumif unlike Countif requires three parts: Range, Criteria and Sum.
The first two (Range and Criteria) are exactly the same as Countif.
Sum asks for the specific location of values to total based on the criteria provided. Thinking in terms of the Countif example above...if the same criteria of "Outperform" was used, then Excel would then go to the Sum location and sum the values of all the "Outperform" records.
Therfore, Sumif provides like Countif quick information that provides specific answers in less time. Allows the analysis to use decision logic to find the answer of a specific criteria instead of going line by line, record by record and summing each to find the answer.
Using all 3 of these together can be very powerful in answering questions in less time. Time is money so allowing Excel logic based off specified criteria allows speed to answer in record time!
