Here is a simple step-by-step guide to container booking and export.
Step 1: Collect shipment details
First, be clear about your shipment: product, quantity, weight, number of pallets, port of loading, port of destination, and expected shipment date. Decide your Incoterm (FOB, CIF, etc.).
Step 2: Contact a freight forwarder or shipping line
Share your shipment details and ask for freight rates and available vessels. They will guide you on 20 ft / 40 ft / LCL, transit time and sailing dates.
Step 3: Confirm booking
Choose the best option and confirm the booking. Send your company details, buyer details, HS code, POL, POD and cargo ready date. You will receive a booking confirmation with vessel name, voyage, cut-off time and container pick-up details.
Step 4: Take empty container & do stuffing
From the designated yard, your transporter takes the empty container to your factory or warehouse. You load the goods, follow proper export packing, put labels and then seal the container with a bottle seal.
Step 5: Prepare documents
Make your commercial invoice, packing list, E-way bill (if applicable) and give shipping instructions to your forwarder. Submit VGM (Verified Gross Mass) if required.
Step 6: Send container to port & customs clearance
Container goes to the port. Your CHA/forwarder files the shipping bill, completes customs formalities and gets “Let Export Order”.
Step 7: Loading on vessel & final export process
The container is loaded on the vessel. Shipping line issues the Bill of Lading. You send BL, invoice and other documents to the buyer and arrange payment as per terms.
Your container is now on the way – your export is successfully done! 🚢
