You won’t always have direct access to learners. But that doesn’t mean you’re flying blind.
Start close to the learner. Subject matter experts often know the cohort deeply, so it pays to build trust and ask focused, open-ended questions. Their insight can surface the nuances of learner needs, especially when direct feedback isn’t possible. Don’t overlook existing data, either. LMS analytics, past surveys, and focus group summaries can reveal valuable patterns—where learners tend to struggle, what content they revisit, and which formats capture their attention.
When using personas, do so with care. They can be powerful tools for team alignment, but only when grounded in reality. Avoid relying on assumptions or stereotypes; base personas on real learners wherever possible. Focus on their goals, motivations, and behaviours—not just surface-level demographics. And involve stakeholders in reviewing and refining them to ensure they ring true. Think of personas as conversation starters, not final answers.
