Microsoft Excel Tutorial: How to Calculate a Running Total in Excel Pivot Table
Welcome back to another MrExcel netcast! In today's episode, we're tackling a question from one of our viewers, Rod. Rod wants to know how to create a pivot table that shows a running total within a specific month. Well, Rod, you've come to the right place because I'm going to show you exactly how to do that in Excel.
First, we'll set up a pivot table by going to INSERT and selecting PIVOT TABLE. Then, we'll choose the data we want to analyze, in this case, dates and revenue. Now, here's where it gets a little tricky. We need to group the dates by month, so we'll right click on the first date, select GROUP, and choose to group by DAYS and MONTHS. This will give us a column for each month with all the days listed underneath.
But wait, there's more! Excel 2007 has a new default setting that puts all the days in one column, which can be frustrating. So, we'll go to REPORT LAYOUT and select SHOW IN OUTLINE FORM to get our two columns back. Now, we're ready to add the running total. We'll click on the SUM OF REVENUE and go to FIELD SETTINGS. From there, we'll choose to SHOW VALUES AS a RUNNING TOTAL IN and select DATE as the BASE FIELD. And just like that, we have a running total for each month as we go down the pivot table.
