HOA accounting is crucial because it enables better budgeting, financial transparency, faster audits, and stronger decision-making. Accurate accounting tells the financial story of the community, and that story starts with the method you choose.
HOA accounting includes collecting dues, paying vendors, tracking income and expenses, preparing monthly reports, budgeting, and supporting audits. The way transactions are recorded directly impacts the accuracy of every budget, report, and decision.
There are three main accounting methods for HOAs: Cash Accounting, Accrual Accounting, and Modified Accrual. Each method has different strengths.
Cash Accounting records income when received and expenses when paid. It’s simple, easy to understand, and good for small HOAs. However, it doesn’t show unpaid bills, can mislead boards, and isn’t suitable for audits or loans. Cash Accounting works for very small communities but lacks long-term financial accuracy.
Accrual Accounting records income when earned and expenses when incurred, regardless of when cash moves. It provides an accurate financial picture, matches income to expenses, and is required for audits and loans. However, it requires trained accounting support, doesn’t show real-time cash, and is more complex. Accrual is the industry standard for larger or more regulated HOAs.
Modified Accrual Accounting is a hybrid that records income when earned but expenses when paid. It offers better accuracy in revenue tracking while maintaining simplicity for boards. It’s ideal for small to medium HOAs that want more visibility without the complexity of full accrual.
Cash Accounting is very simple but misses important details. Accrual Accounting is more complex but provides full accuracy. Hybrid Accounting balances both, offering moderate complexity with real cash visibility.
Most HOAs use accrual or modified accrual. Over 60% have moved beyond cash accounting, which remains mainly for very small HOAs with budgets under $100,000. For audits, loans, or serious reserve management, accrual-based accounting is often mandatory.
We recommend that HOAs with fewer than 30 units use cash or modified accrual. Communities with 30–100 units should lean toward modified accrual; and HOAs with over 100 units, frequent audits, or financing needs should use accrual.
The best practice is to stay consistent. Changing methods mid-year creates confusion and risks errors. Always document any changes and follow accounting best practices.
In short, Cash means Simplicity, Accrual means Accuracy, and Modified means Flexibility. Choose the method that matches your size, complexity, and goals, and always prioritize consistency, clarity, and the right financial tools to keep your community healthy.
