Four out of five staff use social media for private use during work time.

So how do you deal with the situation when they post comments that are negative derogatory or a breach of confidentiality and can damage your company's reputation?

Let me give you four things that you can do to manage this risk.

First have a good set of policies including social media, monitoring, disciplinary and use of own devices.

Make sure these policies are consistent with each other.

Second make it clear in the social media policy what is acceptable use in your organisation and what is prohibited.

This will provide clear guidelines for managers and boundaries for staff.

Third apply your policies consistently.

For example in a disciplinary situation treat all employees fairly.

This sends out a clear message to your staff about how the company views certain actions and how they will be dealt with.

It also avoids discriminatory treatment that might fall foul of the Equality Act.

Finally, during any disciplinary investigation take screenshots of any offending posts as evidence.

Posts can easily be removed or edited which might make disciplinary action more difficult.
